Job Summary  


Attend to patients on the phone and in person by providing compassionate and exceptional customer service. Coordinate and organize appointments and documentation to facilitate the smooth running of the urgent care environment and support delivery of quality patient care. The Medical Receptionist role will prepare necessary patient forms and build medical charts with those forms.  The receptionist will utilize EMR software to order patient services, verify and update patient data and print appropriate forms. Various clerical duties include answering telephones, taking and delivering messages, copying materials, filing records, etc.


Job Duties/Responsibilities


  • Provide compassionate and exceptional customer service by greeting patients in a friendly, positive, helpful and respectful manner

  • Must be patient with customers who don’t understand the intake process and must demonstrate calmness towards anxious, agitated or angry customers

  • Must have a genuine passion for helping patients

  • Successfully manage patient volume without ever compromising quality

  • Provide information and assistance to patients as needed

  • Organize and coordinate patient intake and other appointments

  • Register patients according to established protocols

  • Gather necessary patient and insurance information to build a new/updated patient account in system

  • Provide necessary forms to patients for completion and signatures; assist patients with completion of paperwork when necessary

  • Maintain and manage patient records and keep patients informed of their account information

  • Gather or create a patient chart and obtain external medical reports as required by medical professionals

  • Notify MAs that patient is ready to be seen

  • Schedule patient appointments, hospital admissions, tests, scans and other outside appointments

  • Safeguard patient privacy and confidentiality

  • Collect cash payments, insurance co-pays and process credit card charges accurately and responsibly

  • Answer telephone calls, record messages for co-workers and deliver messages

  • Maintain an adequate level of office supplies and necessary forms and order office supplies as needed for smooth department operations

  • Maintain various logs of daily activities including patient count and financial transactions in order to prepare monthly tallies of operating activity

  • Perform various clerical duties such as photocopying forms, reports and patient information, faxing forms, filing forms/charts

  • Maintain a neat and clean lobby and work area

  • Prepare the patient lobby and reception work area for patients each morning and evening closure

  • Identifies areas where processes can be improved to increase quality, contain cost and improve service

  • Participation in quality improvement plans

  • Participation in department and company-sponsored meetings and events

  • Be a team player

  • Must be able to work outside of regular business hours which may include evenings and weekends to meet customer requirements





  • Minimum high school diploma or equivalent required

  • Previous medical reception experience is preferred

  • Working knowledge of healthcare insurance preferred

  • Approximately 4-6 weeks on the job experience necessary in order to learn department and clinic policies and procedures



  • Ability to communicate in English both verbally and written

  • Must be fluent in Cantonese and/or Mandarin; knowledge of medical terminology in Cantonese/Mandarin a plus



  • Excellent interpersonal skills necessary in order to: deal effectively and courteously with telephone callers, patients and families; exchange patient related information with a variety of clinic personnel; interact effectively with clinical staff

  • Ability to read and write in order to prepare medical records, charts, etc.

  • Knowledge of PC function, Microsoft Office and basic office equipment

  • Excellent organizational and analytical skills necessary to maintain efficient workflow

  • Ability to concentrate and pay close attention to detail when gathering patient data, entering it into the system, giving information, ordering services, completing log sheets of daily activities

  • Ability to react calmly and effectively in emergency situations

  • Knowledge of facility and surrounding facilities to assist or direct patients to other locations accordingly

  • Ability to adjust responsibilities to accommodate a fast-paced work environment while maintaining excellent customer service and staff interactions

  • Ability to work in a flexible work schedule

  • Willingness to take responsibility for actions; act positively upon feedback from others

  • Ability to maintain confidentiality of sensitive information
